Brief Description of Duties:
SUNY Morrisville is seeking an Administrative Assistant I to support the Library and EOP Accessibility Services.
This position offers a unique opportunity to provide administrative assistance for three critical student support services at SUNY Morrisville; the library, the Educational Opportunity Program (EOP), and Accessibility Services.
Candidates must be listed with the New York State Civil Service at the appropriate rank to be eligible for this job.
Position duties require that the incumbent be familiar with SUNY and state procurement processes, that they have a basic understanding of human resources hiring procedure requirements, that they be highly proficient in the use of spreadsheet functions for budgeting and data management, that they can follow procedures for working with confidential student documents, and that they can competently manage responsibilities for tasks in three different campus departments.
Primary Responsibilities include but are not limited to: For all three departments, the administrative assistant will be responsible for: Purchasing and monitoring payable and receivable accounts Bookkeeping and reconciliation for OPTS, IFR, and grant accounts Providing support for coordinating hiring processes and organizing onboarding of new employees Library specific duties include: Library materials acquisition Circulation desk coverage as needed Library record keeping including equipment usage data collection and tabulation Assist in data tabulation and presentation used for assessment and annual reports Periodical publications check-in, shelving, and retention Library communications including monitoring the library's public facing email accounts Accessibility Services specific duties include: Assisting with tracking and collecting confidential documentation students are required to submit to receive learning accommodations.
Job Requirements: Minimum Qualifications You must take and pass a Civil Service examination to be considered for appointment to this position.
Promotion: one year of service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship* Non-competitive: high school diploma or high school equivalency diploma; and two years of experience in administrative support**, which includes use of office software (e.
g.
, email, word processing), provision of customer service, business writing, and management of an office.
*Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology.
It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
**Certification (e.
g.
, IAAP Certified Administrative Professional), diploma, or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
