Location: Morrisville, NY Category: Civil Service and Support Staff Posted On: Tue Aug 8 2023 Job Description: Campus Title: Assistant to the Athletic Director Budget Title : Administrative Assistant 1 Unit: Intercollegiate Athletics Professional Rank and Salary Range: SG-11; $44,957 Duration: Calendar year, 12-months, Full time Brief Description of Duties: SUNY Morrisville is seeking an Assistant to the Director of Athletics.
Primary Responsibilities include but are not limited to : Provides primary administrative support for the Director of Athletics and secondarily for Associate Athletic Director, Assistant Athletic Directors and other members of athletic department staff (coaches, trainers, equipment, etc.
) 5 Administrators, 1 EQ manager, 2 asst.
trainers, 16 head coaches, 29 asst.
coaches.
Purchasing: responsible for executing all purchases within the athletic department.
This includes purchases made via bid, quotes, purchase requisition, and department credit card.
This also includes reconciliation of invoices and purchase reqs as well as monthly credit card reconciliation.
Tracks expenses on all 27 athletic IFR's, as well as expenses and deposits to all 19 camps and clinics IFR accounts.
Processes purchase requisitions for MAC Contract, tracks expenses and request increases when needed.
Transportation: responsible for the preparation of bid document for all team transportation and ongoing oversight of trips.
This entails effective and timely communication with coaching staff and subsequently the bus company.
Processes all Van requests and MAC bus requests.
Checks all busing invoices monthly to ensure all trip charges are correct and notes all accounts to be charged with amounts for each so Business Office can process journal.
Related to this, the vouchers for team travel as well as recruiting travel executed by coaching staff members.
Reconciles team travel vouchers with monthly NET card statement, making sure all receipts and rosters are attached prior to submitting to the Business Office.
Tracks all recruiting travel expenses and reconciles to each coach's statement, requesting any missing receipts or paperwork prior to submitting to the Business Office.
Is primary contact for all travel questions for the Athletic Department.
Helps new personnel with proper travel procedures and voucher submission.
Oversees all credit cards for department, makes requests for card cancellations upon departure of employees as well as submitting new card request forms.
Assists Associate Athletic Director with all aspects of compliance.
Work Orders - submits work orders for department needs.
Helps with other day-to-day operations of the athletic department and assists in any administrative work for game management, fundraising, human resources, and academic support for student-athletes.
Job Requirements: Minimum Qualifications You must take and pass a Civil Service examination to be considered for appointment to this position.
Promotion: one year of service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship* Non-competitive: high school diploma or high school equivalency diploma; and two years of experience in administrative support**, which includes use of office software (e.
g.
, email, word processing), provision of customer service, business writing, and management of an office.
*Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology.
It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
**Certification (e.

, IAAP Certified Administrative Professional), diploma, or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
