Job Summary Under the general supervision of HIM Director and ROI Team Leader, processes the release of protected health information by following state, federal (including HIPAA), and hospital policies in an accurate manner.
The release of information functions include assisting patients and customers via phone, fax, and walk-in, assessing requests for validity, selecting and gathering records that are authorized to be disclosed, applying specific procedures according to the request type (including appropriate fees), posting payments, and providing/delivering records within defined time frames.
Core Job Responsibilities Accurately assesses the validity of record requests by applying knowledge of state, federal (indluding HIPAA) rules and regulations, and related MVHS and departmental policies; ensures that records released are not less nor do they exceed those authorized/requested; responsible to communicate the reason for any denied requests.
Maintains access and an intimate knowledge of all documentation contained in the legal medical record, all electronic applications, and storage mediums necessary to collect/gather records for release; coordinates collection from other departments/locations when necessary.
Applies proper procedure/workflow and billing tier/fees as determined by the request type/requester; pre-bills customers when necessary, accurately posts and forwards payments.
Ensures requests are processed in a timely manner not to exceed required time frames, including expedited requests such as subpoenas.
Displays excellent organizational and prioritization to ensure continuity of care customer needs and regulations.
Provide service excellence to customers that meets or exceeds expectations through compassion and knowledge of available services and resources.
Ensure accountability with follow-through on commitments to internal and external customers.
Is accountable to be present and complete tasks/assignments efficiently with minimal supervision.

Engage in quality improvement initiatives including continuing education, participation in departmental and job specific teams, identifying areas for quality improvement and safe outcomes.

Education/Experience Requirements REQUIRED: High School Diploma or GED At least one year experience working in healthcare or legal setting PREFERRED: Associates Degree in Health Information Management 3-5 years experience in Release of Information or health care related position.
